Job Description

Student will provide front office reception support in the Director's office at the Residential College e.g., greeting walk-in visitors, communicating accurate information about our programs, assisting students and guests requiring directions within the building and/or campus. Conducts routine office supply and kitchen inventory checks, ordering supplies as needed. Position ensures that the copy room and supply cabinets remain organized and tidy. This position is responsible for general office tasks, e.g., operating and troubleshooting office equipment such as printers, scanners, copy machines, fax machines, maintaining paper supply, collecting used toner for recycling, distributing materials, updating bulletin boards, collecting documents for shredding, laminating materials and organizing files, etc. Note any messages left for staff working in suite 1720 by sending this information to their e-mail address. Forward mail that is not deliverable due to faculty/staff no longer working at department. Monitor staff and faculty mailboxes and inform individual when their box is full. Send fix-it requests online when staff or faculty report items that break/need fixing/major spills/cleanup. Log any office equipment (usually computer adapters) that are checked out and returned to office. Assist faculty/staff who may be locked out of their offices.

Tasks require experience with data-entry, word-processing and working with PDF documents. Student will be asked to run errands across central campus and assist with receiving any special deliveries in the loading dock area. Assist with seasonal/community spirit decorations on white “coat-trees” in the RC administrative hallway.

Educational Value

The student will gain valuable practical experience of office procedures and operations, including interpersonal skills in an academic setting.

Job Requirements

Student should be knowledgeable about the Residential College, but not directly affiliated with our program. Work times are flexible within 8:00AM to 5PM, Monday through Friday. Applicant must be dependable and courteous. Excellent verbal and written communication skills, word processing (Microsoft Word), Excel, GoogleDocs, and record keeping experience required. Prior experience in office work is preferred. Student must maintain confidentiality of information.

This job requires students to be able to walk across central campus for deliveries and pick-up of special mail items and small packages. Must keep grades up to academic standards.

This position is for approximately 10  hours per week for Fall Term and Winter Terms with possible opportunities for spring/summer hours.

Workplace protocols and basic prevention measures have been implemented to protect staff and others at the job site from the risk of exposure to COVID-19. Position will be required to observe these safety measures and trained on how to communicate them to others using the administrative spaces. Some tasks may be able to be completed remotely. Work may be available during spring/summer terms.
