Job Description:

The Division of General Medicine is seeking a dynamic, creative, and highly organized individual to provide administrative support to our division support team within an academic research setting. We are especially interested in candidates with a marketing background to enhance our division communications, such as flyers and monthly bulletins.

Responsibilities will include independently managing administrative tasks, prioritizing workloads, preparing correspondence and letters, creating complex tables and charts, and assisting with faculty CV updates. The role also involves coordinating meeting schedules and planning appointments, conferences, and large events. The successful candidate will produce visually compelling slides, newsletters, and handouts for presentations using graphic design software and contribute to special projects as needed.

The ideal candidate will excel at organizing and completing tasks efficiently, manage confidential data appropriately, and demonstrate excellent verbal, written, and interpersonal communication skills. Strong attention to detail, effective prioritization, and the ability to meet deadlines are essential. A customer service mindset and a positive attitude are required. You should be comfortable working both independently and collaboratively in a fast-paced, team-oriented environment, exercising sound judgment in applying policies and procedures.

Work Arrangement:

This is a hybrid remote position, with most work conducted remotely and occasional onsite responsibilities at the North Campus Research Complex (2800 Plymouth Road, Building 16, 4th floor).

Job Requirements

Requirements:

- Demonstrated proficiency with Microsoft Word, Excel, PowerPoint, SharePoint, Adobe Acrobat, and Adobe Illustrator 

- Graphic art experience for newsletter and presentation slide creation; familiarity with social media platforms preferred 

- Exceptional attention to detail and follow-through 

- Ability to work independently and as part of a team; adaptable to changing priorities 

- Strong written and verbal communication, interpersonal, and organizational skills 

- Reliable, with a dependable attendance record 

- Able to multitask and stay composed when facing multiple deadlines 

- Quick learner with a positive attitude and a customer service focus
