Engaged Learning Student Internship

Job Description: 

 This 12-month internship position provides a valuable opportunity for upper-class undergraduate and/or graduate U-M students to gain executive administrative and organizational support experience by assisting the supporting team to Vice Provost Valeria Bertacco. Working under the supervision of the Executive Assistant, the successful candidate will provide secretarial and general administrative support, help execute special projects (i.e. international delegation visits, annual reporting publications, domestic and international agreements, etc.), and gain experience in a fast-paced professional environment.

Hours and Compensation:

  • Requires a regular weekly schedule between 8:00 AM and 5:00 PM on Tuesdays, Wednesdays and Fridays. The commitment would be the ability to work in-person on the days listed above, for a total of up to 24 hours per week (during the school year).
    • Ability to work up to 40 hours per week during summer months is preferred.
  • This is an on-site position, based in the Provost’s office.
  • Starting pay: $18 per hour
  • This is a term-limited position, from February 2025 to February 2026, with the potential for extension
Responsibilities:
  • Assist Dr. Bertacco with her daily schedule, ensuring she stays on track with meetings and guiding her to the correct locations as needed. Scheduling will be managed by her executive assistant.
  • Responsibilities related to hosting frequent delegations and other visitors (assist with organizing catering, reserving and setting up conference rooms, preparing gifts, printing and preparing materials, etc.)
  • Securing the Vice Provost’s signature on weekly domestic and global agreements/MOUs.
  • Printing documents as requested by Dr. Bertacco and her executive assistant.
  • Maintain the organization of Engaged Learning files, ensuring that materials are properly organized and labeled.
  • Provide support to the executive assistant, with the organization and execution of occasional events for internal/external collaborators and other Engaged Learning team members. PLEASE NOTE: These events generally take place during regular business hours, but there is a possibility that they could occur outside of regular hours.
  • Perform data entry and help manage regulatory documents and sensitive files, handling confidential matters with discretion.
  • Perform additional duties as assigned.

Qualifications for this job include, but are not limited to, pursuit of an undergraduate and/or graduate degree, prior work experience, and two professional references. 

Job Requirements

Requirements:

  • Must be a currently enrolled undergraduate or graduate student at the University of Michigan (all majors welcome).
    • Work-Study students are encouraged to apply.

  • Ability to occasionally work outside of regular hours for events, as needed.
  • Proven ability to handle confidential information with discretion and professionalism.
  • Willingness to complete any required online training.
  • Proficiency in Google Workspace (Docs, Sheets, Calendar) and Microsoft Office Suite (Word, Excel, Outlook)
Qualifications:
  • Strong organizational skills and attention to detail.
  • Self-motivated problem solver.
  • Effective oral and written communication skills, with a professional and courteous demeanor.
  • Ability to work both independently and collaboratively within a team.
  • Willingness to adopt new tools and skills for communication, publishing, and organization (i.e. Trello, WordPress, Canva, etc.) as needed
  • Previous customer service experience and/or event planning experience is preferred.
  • Enthusiasm for the University of Michigan, with a desire to make a positive impact on the community
 
Hourly Rate $18.00/hour
