Job Description

·       The primary point of contact within the department. Must provide high-level general assistance to walk-in traffic, including faculty, staff, students, and department visitors.

·       Provide a high level of administrative support to contribute to the overall function of the Chemistry department, including being a part of staff and other departmental committees. Draft weekly donor acknowledgment letters, provide general administrative support to faculty, and manage projects for staff and faculty as needed.

·       Set up coffee and food service for seminars, faculty meetings, and other events.

·       Provide a high level of events and communication support to the department for seminars, colloquia, guest lectures, and special events. You will work closely with faculty and students on seminars and communication projects.

·       Coordinate the use of facilities, services, and/or equipment for events.

·       Collaborate with the LSA Finance Business Office to process reimbursements for guest lecturers and to process honoraria

·       Collaborate with the Executive Coordinator on special projects.

Educational Value

Students in this role will gain extensive experience in customer service, event planning, and basic office organization. 

Job Requirements

Experience we’d like you to bring: Previous administrative experience or a strong desire to work in a professional office environment.  A successful candidate should have excellent interpersonal skills with the priority of assisting students, faculty, and staff. Experience with Microsoft Suite, Google applications, calendaring, Adobe Acrobat, and MailChimp/Constant Contact is needed. Attention to detail and organizational skills are important, with the ability and desire to work independently, be part of a team, be a self-starter, and show initiative. Demonstrated ability to initiate projects and carry them through to completion, as well as the ability to pivot between competing tasks. Experience handling confidential and sensitive information with a demonstrated ability to use sound judgment and diplomacy. Prior customer service interaction coupled with demonstrated sensitivity and ability to listen and deal warmly and empathetically with a wide range of people.

Hourly Rate $15.00/hour
