Job Description

Position Overview

The Special Assistant to the Director supports the Director of the Trotter Multicultural Center in managing daily operations, special projects, and strategic initiatives that enhance the student experience. This role requires strong organizational, communication, and technical skills to ensure the smooth execution of various administrative and project-based tasks.

Key Responsibilities

Administrative & Scheduling Support

  • Manage the Director’s calendar, scheduling meetings, appointments, and engagements.

  • Coordinate logistics for internal and external meetings, including preparing agendas and materials.

  • Track deadlines and provide timely reminders to the Director.

Project Management & Special Initiatives

  • Assist in planning and executing special projects that align with the Center’s mission and strategic goals.

  • Conduct research and compile reports to support decision-making.

  • Collaborate with staff, faculty, and student groups to implement initiatives.

Communications & Outreach

  • Draft internal and external communications, including emails, reports, presentations, and newsletters.

  • Develop promotional content to highlight Trotter’s programs and events.

  • Serve as a liaison between the Director and campus/community stakeholders.
     

Website & Digital Presence Management

  • Update and maintain sections of the Trotter website, ensuring accurate and timely information.

  • Assist in managing digital content, including event postings and resource updates.

  • Support social media outreach efforts as needed.

Job Requirements
  • Must be a current graduate student in good academic standing.

  • Strong organizational and multitasking skills with attention to detail.

  • Excellent written and verbal communication skills.

  • Experience with scheduling tools, website content management systems, and project coordination.

  • Ability to work independently and collaboratively in a fast-paced environment.

  • Ability to anticipate need and plan appropriately.

  • Research focus or previous experience in higher education, student affairs, or community engagement desired but not required.
     

Hourly Rate $19.00/hour to $22.00/hour
Hours 20.0 to 29.0 hours per week
Time Frame Fall/Winter/Spring/Summer
Start Date Monday, May 5, 2025
End Date 05/05/2026 with possibilty of renewal
