Job Description
We are seeking a highly organized and motivated Administrative Assistant to support a professor working in a leadership role at the intersection of the Arts and Education. The Assistant will provide key support in managing daily operations, coordinating special projects, and advancing strategic initiatives. This position offers an excellent opportunity to develop skills in administrative coordination, communications, and project management within a dynamic academic environment.

Key Responsibilities

Administrative & Scheduling Support

  • Manage the professor’s calendar, including scheduling meetings, appointments, and events.

  • Coordinate logistics for internal and external meetings, such as preparing agendas and materials.

  • Track deadlines and provide timely reminders to ensure priorities are met.

Project Management & Special Initiatives

  • Assist in planning and implementing projects that align with the program’s mission and strategic goals.

  • Conduct research and compile reports to support decision-making and program development.

  • Collaborate with staff, faculty, and student groups to advance initiatives and events.

Communications & Outreach

  • Draft internal and external communications, including emails, reports, presentations, and promotional content.

  • Serve as a liaison between the professor and campus/community stakeholders.

  • Update and maintain online announcements and digital content to ensure accuracy and timeliness.

Job Requirements

Qualifications

  • Must be a current graduate student in good academic standing.

  • Must be available to work on campus intermittently.

  • Strong organizational and multitasking skills with excellent attention to detail.

  • Exceptional written and verbal communication skills.

  • Experience with scheduling tools, project coordination, and website content management systems.

  • Ability to work both independently and collaboratively in a fast-paced environment.

  • Demonstrated ability to anticipate needs and plan proactively.

  • A background or research focus in the arts, higher education, student affairs, or arts-based pedagogy is preferred but not required.
