The ASF Events Intern will provide comprehensive support across all ASF major events including but not limited to, the Wolverine Invitational, Wolverine Open, Coupie Classic, Miller Family Open, and the annual Crisler Game. In addition to providing support for the planning and execution of major events, this position will support ongoing community facing and recreational events. Important Dates / Events to note for this position:
- Wolverine Invitational (Wheelchair Basketball Tournament): October 3rd - 5th, 2025
- Wolverine Open (Wheelchair Tennis Tournament): December 5th - 7th, 2025
- Coupie Classic (Wheelchair Rugby Tournament): Late February or Early March
- Crisler Wheelchair Basketball Game; Michigan vs MSU: Winter Semester
Event Planning & Logistics: - Assisting with event setup and breakdown: This includes tasks like setting up and moving equipment, athlete/staff spaces, signage, and promotional materials.
- Managing event supplies and inventory: Keeping track of equipment, apparel, and other necessary items.
- Attending weekly planning meetings with internal and external stakeholders.
- Handling event-related paperwork: Assisting with contracts, waivers, rosters, attendee information, travel documents, and other necessary documents.
- Managing event registrations and RSVPs: Tracking attendance and ensuring accurate records.
- Maintaining event-related databases and spreadsheets: Organizing data for event planning and reporting.
Marketing & Promotion: - Creating and distributing promotional materials:
- Developing flyers, posters, social media content, and other materials to advertise events.
- Assisting with social media engagement:
- Updating social media platforms with event information, photos, and videos.
- Promoting events on campus and with local organizations.
- Event promotion and outreach to the university and local community to drive spectator attendance.
Post-Event Responsibilities: - Assisting with event breakdown and cleanup: Ensuring the event space is left in good condition and all items are returned back to their original location.
- Evaluating event success: Gathering feedback and data to assess event performance.
- Helping with post-event reporting and analysis: Preparing reports on event outcomes and areas for improvement for both internal and external purposes.
Community support: - Supporting the ASF Community Program Coordinator with event or program set-up and breakdown for community and recreational events (e.g. drop-in programs, clinics, workshops): This includes tasks like setting up and moving equipment, athlete/staff spaces, signage, and promotional materials.
- Supporting the ASF Community Program Coordinator with community facing programs like the Adaptive Sports & Inclusive Recreation Initiative or Prescription to Play: This includes tasks like setting up and moving equipment, managing technology needs for presentations, signage, and promotional materials.
