Job description:

The Student Administrative Assistant will play an integral role in supporting daily operations and special projects within the office. This role offers valuable hands-on experience in office administration, project coordination, digital communications, and event support, fostering skill development crucial for future professional opportunities. The student will gain practical exposure to collaborative work environments, digital tools, and community engagement initiatives, while helping the office run efficiently and making a meaningful impact in our campus and community-focused programs.

The position works under the supervision of the Engaged Learning Project Manager. The position is a maximum of 20 hours a week during the academic school year, and 40 hours a week during the summer, with the understanding that the number of hours per week are flexible.

The form requests applicants to submit a cover letter, their CV/resume, and answer a few questions. The Engaged Learning Project Manager will contact applicants who have completed the form, as well as meet qualifications, to schedule an interview.

Job Requirements

Position duties include, but are not limited to:

Administrative Support

  • Assist with preparation, tracking, and updates of Memoranda of Understanding (MOUs) to ensure timely processing and organized record-keeping.
  • Prepare print and digital materials by combining, uploading, and filing documents as needed, maintaining confidentiality and data integrity.
  • Support general office functions, including responding to inquiries, organizing shared files, and assisting staff with routine administrative tasks.

Engaged Michigan Website, Social Media & Marketing

  • Contribute to the creation and publication of spotlights, news articles, and event announcements for the Engaged Michigan website and associated social media channels.
  • Track and organize images for marketing and publication use, ensuring compliance with privacy and media policies.
  • Assist with developing engaging content to promote office initiatives and increase the visibility of programs and events.

Engage Detroit Workshops

  • Provide logistical support for Engage Detroit Workshops, including assisting with catering arrangements, coordinating event setup, and preparing informational booklets and event materials.
  • Support post-event activities such as compiling final reports, gathering participant feedback, and helping document outcomes for future improvement.

Detroit Census Mapping

  • Assist with preparatory work and coordinate data collection efforts for Detroit census mapping projects.
  • Gain experience working with data management tools, learning methods for accurate data gathering and analysis.

Yearly Student Census

  • Participate in the yearly student census by supporting digital design, assisting with data collection and management, and editing documents or graphical elements for clarity and accuracy.
  • Learn to use relevant survey and design tools under staff guidance.

Other Duties as Assigned

  • Assist with additional projects and tasks as they arise, supporting the dynamic needs
Qualifications:
  • Strong attention to detail and organizational abilities.
  • Interest in community engagement, event planning, or digital communications.
  • Willingness to learn and take initiative.
  • Familiarity with office software (Microsoft Office, Google Suite) and/or graphic design tools is a plus.
Hourly Rate $18.00/hour to $20.00/hour
