Job Description

The Administrative Assistant will provide essential logistical, administrative, and human resources support to ensure the smooth operation of the research lab. This position serves as the key point of contact for scheduling, procurement, communication, website management, and event planning. The coordinator will work collaboratively with faculty, students, and staff to enable effective research and team engagement.

Key Responsibilities:

Administrative Support

  • Schedule meetings and reserve appropriate meeting rooms for lab activities.
  • Submit and manage facilities service tickets to address lab infrastructure needs.

Record Keeping and Communication

  • Update and maintain the lab website, ensuring current information is posted.
  • Submit departmental updates for university newsletters as requested or on a recurring basis.

Human Resources Coordination

  • Assist with onboarding new lab members
  • Add or remove members from lab sites and other communication platforms as appropriate.

Lab Meetings

  • Manage and update calendar invites for lab meetings.
  • Maintain and update the lab meeting invite list.
  • Manage communications with guest speakers and students as necessary

Event Planning

  • Organize team bonding and lab social events.
  • Reserve rooms utilizing Schedulon and order food for events as needed.
  • Send event reminders and manage attendance through Google Forms.
  • Create event flyers, surveys, and materials using Canva or other design tools.
Educational Value

Exposure to advanced machine learning and bioinformatics research with the opportunity to transition into a research role in the future. 

Job Requirements

 

  • Experience with basic procurement procedures and inventory management.

    Required Qualifications:
  • Excellent organizational, communication, and interpersonal skills.
  • Ability to work independently and proactively in a fast-paced environment.
  •  
  • Proficiency with Microsoft Outlook, Google Workspace (Shared Drives, Forms, Calendar), and Slack 
  • High attention to detail and the ability to manage multiple tasks and deadlines.

    Preferred Qualifications:
  • Experience in a research or academic environment.
  • Familiarity with HR and onboarding processes.
  • Experience with website management (Google Sites)
  • Experience with basic procurement procedures and inventory management.
Hourly Rate $15.00/hour
Hours 10.0 hours per week
