Job Description

The Administrative Assistant will provide high-level administrative support to Professor Ashley Gearhardt. With a primary focus on managing email communications, scheduling, and general administrative coordination. The ideal candidate will be highly organized, detail-oriented, and proactive in helping to streamline communication and administrative workflows.

Email Management
Monitor and manage the faculty member’s email inbox, prioritizing and flagging urgent or time-sensitive messages.
Draft, respond to, and organize correspondence on behalf of the faculty member as appropriate.
Manage incoming requests (e.g., speaking engagements, collaboration inquiries, meeting invitations), triaging and tracking follow-ups.
Maintain organized email filing and tagging systems to ensure quick access to important information.
Identify recurring types of requests and develop templates or processes to streamline responses.
 
Scheduling & Calendar Management
Coordinate and schedule meetings, conference calls, and appointments, ensuring efficient use of time.
Manage calendar invitations and resolve scheduling conflicts.
Liaise with internal and external stakeholders to set up meetings across multiple time zones.
Prepare meeting materials, agendas, and follow-up notes as needed.
 
Administrative & Operational Support
Complete administrative forms, travel requests, reimbursements, and other institutional paperwork.
Assist with document preparation, formatting, and proofreading.
Support logistics for research events, talks, or workshops as needed.
Maintain confidentiality and handle sensitive information with discretion.
Perform other duties as assigned to ensure smooth daily operations.

Provide ad hoc support to ensure smooth daily operations and respond to emerging priorities.

Job Requirements
Required Qualifications:
Completion of at least two years of undergraduate coursework or equivalent education and experience.
Demonstrated organizational skills and attention to detail in managing multiple priorities.
Proficiency with email, scheduling, and document management tools (e.g., Outlook, Google Workspace, or Microsoft Office).
Strong written and verbal communication skills.
Ability to maintain confidentiality and work independently with minimal supervision.

Hourly Rate $15.00/hour to $25.00/hour
