Job Description |
Operations Assistant with Michigan Housing INTRODUCTION: The Community Center is the first point of contact for many of Michigan Housing’s residential communities. It is also a central hub for quality service, direction, resources, and assistance. A key responsibility of the Operations Assistant (OA) is to provide excellent customer service to residents, staff, and visitors in the residential community. As part of the Community Center team, the OA supports building team partners, Housing and Student Life colleagues, and Michigan Learning Communities. TIME COMMITMENT: OAs are expected to meet the expectations and responsibilities of the position through the time commitments listed below. Michigan Housing recognizes that OAs have other academic, personal, and professional time commitments as well. An OA’s Community Center Manager (CCM) is available to discuss strategies to help balance the OA responsibilities with other time commitments as needed. The OA can expect to work various hours across seven days each week to ensure that the Community Center is open to meet the community’s needs. This includes: Working evening and weekend shifts. When the residence halls are open, OAs may be scheduled to work, this includes Fall Break, Thanksgiving Break, and Spring Break. When the University is closed, the Community Centers will be closed, this includes Winter Season Days. The Community Centers at Northwood and Munger are twelve-month operations which stay open longer than our undergraduate residence halls.
OAs will be scheduled for a minimum of 8 hours per week. Students should plan to work additional hours during training periods, as well as during Opening and Closing of the residential buildings, and as requested by their supervisor(s). Actual hours may vary depending on the needs of the Community Center and the OA’s availability. It is important to note that OAs cannot exceed 29 on-campus employment hours per week and International Students may work up to 20 on-campus employment hours per week while school is in session during the academic year (fall and winter semesters). OAs are expected to attend an in-person once per month on Tuesday nights from 6:00 PM - 7:00 PM. Tuesday night meeting dates are subject to change due to events, such as academic calendar breaks. If this occurs, the OA will receive prior notice from the CCM and the meeting must remain a priority.
This position is available for the Fall/Winter 2026-2027 terms as well as the Spring/Summer 2027 terms. Specific dates are in alignment with the University of Michigan academic calendars. OAs are expected to submit time-off requests to their Community Center Manager at least two weeks in advance whenever possible. Approval of time off is contingent upon staffing needs, training schedules, and key community events such as Opening and Closing. Requests made with less notice may not be approved, except in cases of emergency.
RESPONSIBILITIES: Create an approachable and service-oriented environment at the Community Center by prioritizing assisting residents and completing Community Center tasks. Maintain timely communication with the supervising CCM, fellow CCAs, and community members as needed. Respond promptly and professionally to telephone and in-person inquiries, ensuring follow-up and resolution. Sort and distribute mail and packages to students and staff per provided protocol. While maintaining accuracy when logging packages and mail using the designated tracking systems. Be able to frequently move mail and packages of up to 50 pounds to and from various areas in the community, including shelving units, package storage locations, and mail rooms. Package storage locations may vary per building and during peak times. Be able to accurately and timely log/check-in and check-out mail and packages, and to retrieve various sized and shaped items for and from residents from various areas in the community. All non-confidential U-M employees (faculty and staff, including student employees) are required to share with the Equity, Civil Rights, and Title IX Office (ECRT) information they learn in the scope of their employment about alleged sexual misconduct and protected class discrimination, harassment or retaliation by members of the university community. Manage confidential information in a secure and sensitive manner in line with FERPA and organizational policies. Lock and secure the Community Center, as needed to ensure resident safety and the security of sensitive information and technology. Follow proper procedures set by Housing Security Supervisors regarding the key management system in the distribution of keys/cards during room check-in/check-out and lock-outs. Assist in the preparation and facilitation of Move-in and Move-out procedures. Comply with University of Michigan and Michigan Housing policies and procedures. Model personal behavior that is consistent with the Michigan Housing mission, Community Living at Michigan standards, and Statement of Student Rights and Responsibilities. Must attend and participate in all required virtual and in-person training such as August (Fall) and January (Winter) training. There may be additional Spring/Summer training for those working during the Spring and Summer terms. April or May training for 12 month communities. Please note: Attendance at all training sessions is required. Other duties as assigned.

ELIGIBILITY REQUIREMENTS:Please submit a resume and fill out the Operations Assistant Essay Questions form. Must be enrolled as a graduate, undergraduate, or professional student at the University of Michigan Ann Arbor campus. Undergraduate Student Staff members must be enrolled and complete at least 8 credit hours each semester that they are appointed, and graduate Student Staff members (Masters/Certificates) must be enrolled and complete at least 6 credit hours each semester they are appointed. Ph.D. candidate student staff members must provide proof of enrollment each semester they are appointed. Must be in good standing with Student Life and the University. This includes upholding all policies and procedures as defined by the University of Michigan Standard Practice Guide, the Michigan Housing Community Living at Michigan (CLAM), the Statement of Student Rights and Responsibilities, and any other applicable University policies and procedures. Must comply with all institutional, local, state, and federal laws and guidance. Housing Student Conflict Resolution, Housing Student Employment Work Record, University Records, and the Office of Student Conflict Resolution records will be checked to determine if an applicant is eligible to be hired for a student position. Final position offers are contingent upon the successful completion of a background check and verification of employment eligibility. Must adhere to all roles, responsibilities, and expectations for the entire duration of the appointment. Due to the nature of their responsibilities, CCAs are not required to live in Michigan Housing. CCAs will not be eligible to hold Residence Education student positions during their CCA appointment, such as ResStaff (RA) positions.
