Job Description

Job Summary/Responsibilities: 

 

  • Assist with the planning, coordination, execution, and debrief of the Trotter/MESA Welcome Program.

  • Assist with recruiting students, staff, faculty, and community members to serve on the volunteer committee and family pods. 

  • Attend scheduled meetings and reserve space for planning committee meetings (beginning late-April and ending early-September)

  • Lead planning committee meetings by preparing agendas, facilitating meetings, and sending out meeting minutes. 

  • Assist with setup, implementation, and cleanup of all Welcome Program activities, functions, and events.

  • Assist in outreach and marketing efforts, including but not limited to: attending student organization meetings, contacting local community organizations, and creating and disseminating promotional materials. 

  • In coordination with Trotter/MESA Program Manager(s) and the Office Manager(s), manage purchases and reimbursements to stay within program and event budgets. Assist with funding allocations and expense tracking throughout the planning and execution period.

  • Recruit and collaborate with other community stakeholders, including (but not limited to) student organization leaders, family-pod cohorts, and campus partners.

  • Assist in updating Trotter/MESA & U-M websites and social media platforms in accordance with Welcome Program activities. 

  • Support and advise the sponsored legacy organizations and family-pod cohorts, and plan and recruit participants for the duration of the associated Welcome Programming.

  • Promote and advertise Trotter/MESA Welcome Programming opportunities and collaborate on WP efforts through the Trotter/MESA website(s) and calendar(s).

  • Maintain positive community relationships with all parties involved with the Welcome Program.

  • Attend all weekly meetings, including the weekly scheduled hours.

  • Attend all required Trotter/MESA events.

  • Assist Professional staff in maintaining updated legacy notes for continued program development.

Job Requirements

This role requires a self-directed, detail-oriented individual with outstanding organizational skills and a demonstrated commitment and understanding of Asian American, Black, Latine, MENA, Native, and Pacific Islander student experiences. This position is ideal for someone who enjoys planning events, leading meetings, and working independently while simultaneously working on a team. This position requires availability during the days and evenings, with occasional weekend hours, in addition to attending weekly planning committee meetings. Interested students should be able to commit May-September 2026, and must be enrolled as a student for the Fall 2026 and Winter 2027 terms. The student coordinator in this role will need to be able to balance multiple projects while overseeing the creation of various elements for the Trotter/MESA Welcome Program.

Job Requirements 

  • Enrolled as a student for the Fall 2026 and Winter 2027 terms.

  • Work a minimum of 10-15 hours/week (min and max)

  • An interest in and/or increasing familiarity with social identities, social justice, and U-M campus climate. 

  • Committed to learning and working independently and collaboratively with a team.

  • Excellent time management skills – the ability to manage one’s schedule with school work, this position, and other obligations

  • Must be attentive to detail, reliable, and able to meet deadlines

  • Must be available for occasional weekend and evening hours, which would be communicated in advance.

  • Interested in public speaking engagements and delivering presentations/workshops.

  • Exercise strong communication and interpersonal skills – the ability to represent Trotter/MESA in contacts and communications with stakeholders and to communicate effectively with Trotter/MESA staff and other constituents.

  • Has an interest in mentorship, higher education, public service, volunteerism, or civic engagement; an encouraging, positive attitude; good organizational skills; and can come up with creative solutions to problems and pay attention to detail.
