Job Description

The Safety & Emergency Preparedness Student Worker provides structured administrative and organizational support to the Director of Safety & Emergency Preparedness. This role assists with scheduling, data entry, document organization, routine communications, and safety onboarding tracking for new employees and learners that support the School's safety, infection prevention, training, and emergency preparedness programs.

This is a support role. It does not involve compliance decisions, risk assessment, or investigation of safety concerns, and it does not include access to the content of health, exposure-incident, or investigation records — only status-level tracking as described below. All work is assigned and reviewed by the Director before use.

  • Enter and update non-confidential data in tracking spreadsheets or logs (e.g., general training attendance rosters, event sign-ins).
  • Schedule meetings, reserve rooms, and coordinate calendar invitations for committees (SEPAC, CSIP, RSIP, BIRT) as directed.
  • Prepare and organize non-confidential documents and files for audits, surveys, and inspections.
  • Format routine reports, agendas, meeting minutes, and dashboards from Director-provided content.
  • Send general reminders (e.g., meeting reminders, non-health-related deadline notices) as directed by the Director.
  • Support formatting and version-labeling of policy and procedure documents; does not draft or approve content.
  • Maintain general BIRT roster lists and equipment inventory logs (e.g., counting/labeling supplies); does not handle personnel records.
  • Assist with logistics for training sessions, drills, and preparedness exercises (materials prep, sign-in sheets, room setup).
  • Provide general administrative support: filing, copying, supply ordering, and other tasks as assigned.

Safety Onboarding Support — Employees and Learners

  • Responsibilities include status-level tracking for both new employees and incoming students/residents:
  • Maintain the master safety onboarding tracker for new employees and learners, covering safety orientation attendance, PPE issuance/fit-testing sign-off, badge/access requests, and required safety training modules.
  • Confirm and track completion of the Compliance Essentials Module for new workforce members as part of onboarding; flag incomplete items to the Director.
  • Track Occupational Health Services (OHS) clearance and immunization status using a status field only — e.g., "submitted," "pending," or "cleared" — as provided by OHS or the Director, without accessing the underlying health documentation.
  • Flag unresolved or incomplete onboarding items to the Director before start dates or clinical/lab activity begins, so gaps are caught early rather than after activities have started.
  • Send onboarding checklists and reminder communications to new employees and learners regarding outstanding non-health onboarding steps.
  • Support annual flu vaccine documentation tracking (status only) for the school-wide population.

Compliance Essentials Module Tracking

  • Maintain the annual Compliance Essentials Module completion tracker for all workforce members 
  • Send periodic reminders to workforce members, departments, and administrators who have not yet completed the annual Compliance Essentials Module.
  • Update completion status as records are received, and flag persistent non-completion to the Director as the annual deadline approaches.

 

Job Requirements
  • Currently enrolled student in good standing, eligible for student employment.
  • Strong organizational skills and attention to detail.
  • Proficiency with Microsoft Office and/or Google Workspace (spreadsheets, documents, calendar tools).
  • Ability to follow instructions precisely and maintain confidentiality regarding all school records.
  • Reliable and punctual, with the ability to commit to a consistent weekly schedule.
  • Prior administrative, clerical, or office experience preferred but not required.
