Job Description

The Student Office Assistant is our student colleague and will be working with staff to help complete various projects. Student Office Assistants are responsible for greeting guests to the suite, helping to keep the office clean, receiving packages/breakdown boxes, sourcing materials for staff, answering the building intercom, providing customer service, supporting staff with data entry, formatting documents, and other basic administrative tasks.  IGR has 19 staff members including lecturers, co-directors, associate directors, administrative assistants, a program manager, and assistant director, most of whom teach classes.

Customer service

  • Answer the IGR main zoom phone, directing calls to appropriate staff.
  • Answer the IGR building intercom and buzzing guests in through the accessible entrance.
  • Perform clerical tasks such as reception of visitors in the common area, assisting visitors’ questions to staff members and/or scheduling appointments for guests.


Library Management

  • Label/bind materials for cataloging, and coordinate with the UM Library system to list new items in the MIRLYN catalog where appropriate.
  • Catalogue holdings through the use of Libib.com.
  • Assist Student Administrative Assistant with inventories of library collection and update internal database of holdings.


Resource Management

  • Maintain upkeep of printers (stocked with paper and ink/toner).
  • Replenish common area and copy area materials (paper, staples, tape, tissue, hand sanitizer, etc.)
  • Provide research and non-course related resource procurement, document organization and archival; Preparing weekly materials for courses. 
  • Check the lobby for mail and make sure mail/packages are distributed appropriately, and boxes broken down as needed.
  • Keep the kitchen clean/orderly, and stocked with napkins, plasticware, coffee, creamers, cups, plates, etc.

Staff Support

  • Assist Senior Administrative Assistant with Shared Drive and electronic file management.
  • Execute tasks from staff as assigned by Senior Administrative Assistant, including data entry, document formatting, and other administrative tasks.

Course Support

  • Assemble weekly facilitator course materials and arrange in Facilitator Resource Area
  • Assist Instructors/GSIs with course-related needs
  • Copy/disseminate hardcopy materials (activities, supplies, etc.) to facilitators/participants

Job Requirements

Must be enrolled as an undergraduate student and in good standing at the University of Michigan. Has proficiency in email, Google sheets, calendar, docs, forms, etc.
