Job Description

We are looking for a new Program Assistant for the Difficult Dialogues National Resource Center (https://www.difficultdialogues.org)! The DDNRC seeks to contribute to transformative change among higher education institutions and their partners by advancing innovative dialogic practices to address the multiple and persistent challenges to justice, equity, and the environmental crisis. We are an independent national non-profit with a working board model where board volunteers run the organization. The Program Assistant is the only paid staff member of the organization. Therefore, it is the crucial “glue” for the organization to keep everything running smoothly. Come join our dynamic team of national leaders in dialogue, equity, and justice.

The Program Assistant reports directly to the Program Director for Dialogue Michigan within the College of LSA and works closely with the Board Chair of the organization. The responsibilities include but are not limited to:

  • Arranging and attending meetings with the board, executive committee, and the other committees that make up the organization (programming/conference, communications, and governance)

  • Meeting with the Chair weekly to discuss the state of the organization/receive tasks

  • Liaising between the board chair and committees/between the members of different committees (programming, conference, communications, governance, executive, board)

  • Assisting the Chair and Conference Committee in organizing the Biennial Conference (more information on the conference here)

  • Support and utilize the DDNRC customer relationship management tool (CRM)

  • Building and sending out bi-monthly newsletters 

  • Developing content for the DDNRC website and social media

  • Managing the website and social media presence (sending welcome letters to new sign-ups, monitoring feedback and questions sent via the website “Contact” feature, maintaining the website, posting on Facebook and LinkedIn, etc.)

  • Sending other external and internal communications as needed by request of the board chair or Dialogue Michigan program director

  • Supporting the programming team with technical support during virtual programs

  • Drafting and editing the organization’s Annual Report every year

  • Researching and putting together internal memoranda and grant proposals based on strategic objectives

  • Working with the Secretary/Treasurer to keep documents organized, update the organization’s finances, and facilitate the spread of this information to the executive committee

  • Support the projects of the Business + Impact Fellows

The position requires 5-10 hours a week, depending on the proximity to the conference. A flexible schedule is a must due to committee meetings, though most other work is done asynchronously on the program assistant’s own time. There will be a transition period during which the current Program Assistant will help adjust to the position and give over SOPs on how to do the major tasks.

Job Requirements

Required:

  • Bachelor’s degree

  • Ability to communicate effectively, especially via email

  • Strong organizational skills

  • Experience with social media, newsletter tools, and graphics creation with platforms like Canva

  • Ability to take initiative on tasks and ideas

  • Ability to write professionally

  • Flexibility in schedule to attend multiple meetings per week

  • Initiative to conduct research on higher education issues and possible connections for the organization

Preferred:

  • Experience with non-profit management

  • Experience with Board governance and processes

  • Demonstrated commitment to the mission of the organization

  • Experience taking meeting minutes

  • Availability to attend board meetings (previously scheduled)

Educational Value

The educational benefit of the position is that graduate students will learn both about dialogic engagement in a higher education setting and also about non-profit management. They will learn how to run a small non-profit by assisting in the day-to-day operations of the DDNRC. They will continue to build their skills in the areas of web applications, synthesis of materials, and time management.
